Read placement attendance and timetables

Written for: Local authority officers and school staff given named access to a pupil’s alternative provision placement.

Once you’ve signed in and accepted a provider’s invitation, the Placement updates page shows what the provider shares about each placement. That can include the pupil’s attendance at the provision over the last four weeks, their weekly timetable and the provider’s review summaries. You only see the categories the provider agreed to share.

If you haven’t signed in or accepted yet, see Sign in to see placement updates.

If you’re at a school that doesn’t use Student Radar

Section titled “If you’re at a school that doesn’t use Student Radar”

The page opens on an overview of the pupils your school has placed. Your school’s name and URN are at the top. If you have access for more than one school, choose one from School.

Four tiles sum up the placements:

  • Pupils shared: how many pupils are shared with you, and which providers they’re at.
  • Present at provision: the share of recorded sessions the pupils were present for.
  • Next review: the next review date, and how many reviews are due in the next 14 days.
  • Provider updates: how many review summaries are published to you.

Below them, Attendance at provision shows a grid of the last four weeks. Each row is a pupil. Each column is a school day, with the morning above the afternoon. The key under the grid explains the colours.

  • Use Sort to order pupils by Name, Lowest attendance first or Next review first.
  • Click a pupil’s name to open their profile.
  1. Under Placement updates, find the placement. Accepted placements are labelled Active.
  2. Click View placement.

The placement opens below the list. It shows:

  • The pupil’s name, the provider and the type of placement.
  • Started, Planned end, Next review and Shared until.
  • Attendance at provision: the last four weeks, morning above afternoon, with a key.
  • The latest review summary, if the provider has published one.
  • Published timetable: the days and times of the pupil’s sessions each week.
  • Individually shared records, if the provider shares records with you. Click Read note to read a note, or Download to save a file.

Click Open full profile to see everything in more detail.

The profile opens in its own window. Use the sections down the side:

Section What it shows
Overview The placement details, attendance over the last four weeks, the latest provider update and the pupil’s sessions this week.
Attendance A calendar of the last four weeks and a Session detail table for each morning and afternoon.
Provider updates The review summaries the provider has published to you, with the date each one is available until.
Timetable The pupil’s published weekly session times.
What is shared The categories shared with your named account, and the agreement behind them.

Click Close at the top of the profile to close it.

The calendar and the grid use these colours:

Key What it means
Present The pupil was present for the session.
Authorised absence The pupil was absent, and the absence was authorised.
Unauthorised or unexplained absence The pupil was absent without authorisation or an explanation.
Attendance not required The pupil wasn’t expected to attend that session.
Not yet recorded A session was planned but no mark has been recorded yet.
Mark needs correcting The recorded mark isn’t valid, and the provider needs to correct it.

The Session detail table lists each session with its Planned time, its Statutory record and its Observed presence. The statutory record is the attendance mark. Observed presence is what staff saw, such as the time the pupil arrived. They’re kept as separate records.

The present rate counts recorded sessions only. A session with no mark yet isn’t counted as an absence: it’s shown as Not yet recorded until the provider records it.

Published timetable lists the pupil’s planned sessions for each weekday, for example 09:00 to 12:00 on a Monday. Under it, you can see when the provider published the timetable and how long it’s available to you. It shows session times only, not staffing or internal notes.

  • Only what’s agreed: if the provider doesn’t share a category for a placement, it isn’t shown. For example, you might see “Attendance is not part of what the provider shares for this placement.” Ask the provider if you need more.
  • Always up to date: the page refreshes itself regularly. Click Refresh current access to check straight away. If the provider ends your access, the placement’s information is removed from the page rather than left showing an old copy.
