Alternative Provision / Billing and Invoicing

Invoices drafted from the hours that were delivered.

Set your invoice details once, give each placement an hourly rate, funder and purchase order, and draft invoices from rates and registers. Track what is sent, paid or overdue, and export invoices for your accounts software.

Invoices are drafted for your team to check. Nothing is sent or charged automatically.

Invoices by status, from draft to paid.

Rate to payment

From an agreed rate to a paid invoice

Billing uses the same placement and register records as the rest of the workspace.

  1. 01

    Set the terms

Invoice prefix and numbering, payment terms, VAT and bank details, then an hourly rate, funder and purchase order for each placement.

  2. 02

    Draft from the registers

Choose to charge attended hours only or all scheduled hours, and draft invoices from the rates and registers.

  3. 03

    Track and export

Download a PDF, mark invoices sent or paid, void them or raise a credit note, and export sent and paid invoices for QuickBooks or Xero.

Finance view

What is outstanding, overdue and owed by each funder

See outstanding and overdue invoices, invoiced amounts by month and outstanding amounts by funder, with revenue compared against costs and budget.

  • Finance access granted separately from other roles
  • QuickBooks CSV and Xero CSV exports
  • Void and credit note routes for corrections

Billing that follows the placement

Rates live with the placement, so invoices reflect what was agreed and what was recorded.

Two ways to charge

Charge attended hours only, or all scheduled hours, to match your agreement.

Status at a glance

Draft, sent, paid and overdue invoices are easy to tell apart.

Ready for your accounts

Export to QuickBooks or Xero as CSV files.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Safeguarding records are never shared through commissioner access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
