Top-Up Funding: keep the request and actual decision distinct

Student Radar helps school staff prepare a pupil funding request, review its evidence and record the local authority’s response without confusing a requested amount with an award.

The school records and reviews the evidence. Student Radar does not decide eligibility, recommend a band, guarantee an award or submit the request to the local authority.

A preview is not a download or an external submission.

Before the next lesson

Prepare the request. Keep the decision clear.

Organise a pupil’s funding request, review the school-held evidence and retain a clear record of requested amounts, stages and local authority decisions.

  1. 01

Start with the right pupil and year

Record the request route and authority context without requiring an EHCP to create an administrative draft.

  2. 02

    Review evidence deliberately

Add source-based items for review and explicitly decide inclusion, keeping sensitive narrative withheld from the export.

  3. 03

    Record what actually happened

Check a saved request, stage and actual authority decision separately; download and submit through the required external route.

Request context

Keep the pupil and request scope visible

The request retains pupil, year, route and current stage. Each permitted action checks the relevant pupil/evidence access separately.

Clear amounts

Keep the requested amount separate from an award

Record the school’s intended amount and its basis, then explicitly save request details. Awarded amounts are recorded from the authority’s actual decision.

An estimated provision cost is not an approved award or proof of payment.

Explicit stages

Record the next stage without implying delivery

An offered stage change is saved explicitly after other relevant drafts are resolved. Submitted and acknowledged should reflect real external actions.

Changing the stage does not send a document to the authority.

Reviewed evidence

Decide inclusion rather than exporting every draft

Add a proportionate evidence title, type, sensitivity and summary, then review the item’s inclusion and required reason.

Restricted narrative must not be copied into a general item to bypass access.

Export boundary

Read exactly what is included

The preview shows included permissible content. Sensitive narrative, excluded items and unreviewed drafts remain withheld.

Phone review

Keep the inclusion decision visible

Read the evidence item, source context and saved decision on a phone before continuing the request.

A saved inclusion decision is not an award or external delivery receipt.

Keep the next decision grounded in the record

The school records and reviews the evidence. Student Radar does not decide eligibility, recommend a band, guarantee an award or submit the request to the local authority.

Keep requested amounts and actual authority decisions distinct

Review evidence inclusion with sensitivity boundaries visible

Prepare a working copy without claiming automatic submission

Questions about Top-Up Funding

Can staff review an evidence document before progressing a request?

The workflow includes evidence selection, an evidence-document preview and explicit stage changes, alongside the request’s history.

Can we keep request stages and the authority’s decision together?

Top-Up Funding includes explicit stage changes, evidence preview, the actual local-authority decision and request history. The requested amount remains separate from the award decision.

The value of a connected school

A plan matters when support reaches the child.

Bring the evidence around provision into the review, so the SENCO and teaching team can decide the next step together.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Attendance + SEND

    Check attendance alongside planned support

Look at absence and late arrival around provision. A pupil may have a plan in place and still miss opportunities to receive that support.

  2. Assessment + SEND

Bring progress evidence to the review

Consider recorded learning and small steps alongside targets and provision. Keep the evidence visible while staff judge what is helping and what needs another look.

  3. Family communication + SEND

Include the people who know the pupil

Gather family contributions and coordinate review conversations around the same pupil, with named actions and dates to keep the agreed work moving.

Ask to see a request from draft to reviewed document

Use fictional records to create a request, save its amount, review an evidence item and inspect the export preview before any download or submission.
