Pupil passports: keep everyday SEND support clear and reviewed

Student Radar helps SENCos and school staff bring a pupil’s strengths, communication, helpful strategies and pupil or family voice into a practical passport. Review dates and sharing states help staff distinguish saved content from guidance that a person has checked and confirmed.

Saving or generating a passport does not confirm it is current guidance. Review the content deliberately and check the intended audience before sharing.

Check the intended pupil, document state and review/source information. Fictional school example.

Pupil Passports

From the recorded source to useful support

Keep practical pupil guidance, human review dates and deliberate sharing together, with the right version for its audience.

  1. 01

Find current guidance for the pupil

Choose the school or class lens, search the permitted pupils and separate current, overdue, unreviewed and missing passports. Read sharing and acknowledgement states separately from document review.

  2. 02

    Write what staff can use

Record strengths, communication, what helps, what to avoid and pupil/family voice. School templates structure the presentation; older rich-text passports can still be edited and reopened to check what saved.

  3. 03

Confirm the review and share deliberately

Choose the next review date and Save and confirm review after checking accuracy. Use the appropriate PDF or an explicitly created expiring parent/carer link, then inspect its recorded state rather than assuming delivery.

Keep practical support close to the pupil

Check the wording

Check the words that were saved

The fictional rich-text passport reopens with the added calm-start guidance. A content save preserves review dates instead of silently declaring the document reviewed.

Review deliberately

Make review confirmation a human action

The separate confirmation step chooses a next date and is committed with Save and confirm review. Reopening the passport shows the recorded review information.

Keep the states distinct

Read sharing and acknowledgement separately

A parent link can expire or be revoked, and an acknowledgement can become stale after the content changes. Opening the sharing form does not send a message or verify a person’s identity.

Questions about Pupil Passports

Can staff find passports that need a review?

The passport list separates current, overdue, unreviewed and missing passports, with further filters for review dates. A content save does not automatically confirm that the guidance has been reviewed.

How can a passport be shared with parents or carers?

Authorised staff can choose an appropriate PDF or explicitly create an expiring parent/carer link. Link, acknowledgement and document-review states are separate, and acknowledgements can become stale when content changes.

The value of a connected school

A plan matters when support reaches the child.

Bring the evidence around provision into the review, so the SENCO and teaching team can decide the next step together.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Attendance + SEND

    Check attendance alongside planned support

Look at absence and late arrival around provision. A pupil may have a plan in place and still miss opportunities to receive that support.

  2. Assessment + SEND

Bring progress evidence to the review

Consider recorded learning and small steps alongside targets and provision. Keep the evidence visible while staff judge what is helping and what needs another look.

  3. Family communication + SEND

Include the people who know the pupil
