EHCNA: prepare the request and track the recorded response

Student Radar helps school staff connect an EHC needs assessment request with evidence, family views, reviewed letters, ownership and recorded local-authority milestones.

Evidence prompts and draft wording support professional judgement. Downloads do not submit a request, and the recorded clock starts from actual LA receipt.

The intended pupil, current state and next action stay visible. Fictional school example.

EHC needs assessment requests

From evidence preparation to a recorded authority response

Bring read evidence, family views, the reviewed letter and the authority’s actual milestones into one request record, with clear ownership and visible gaps.

  1. 01

Gather the picture around the pupil

Read and classify relevant files, review source warnings, and save the parent/carer and child perspectives without treating missing evidence as a completed checklist.

  2. 02

    Prepare and review the letter

Draft from the read evidence, check the statements, save edits and prepare the PDF or bundle for the school’s authorised submission route.

  3. 03

    Track what actually happened

Record submission, LA receipt and subsequent decisions on their actual dates. Keep the holder’s calendar and next actions connected to the current stage.

Own the next step

Give the request a holder and a real timeline

The overview separates the colleague holding the request from the school and LA milestones. The timeline stays unstarted until LA receipt is recorded; downloading a letter does not set that date.

Read the evidence

See what the letter can actually draw on

Source summaries and the evidence checklist distinguish included files from read evidence and unresolved gaps. Classification, reading and inclusion are deliberate steps rather than assumptions based on a filename.

Family views

Keep family views separate and check what saved

Parent/carer and child perspectives have separate fields alongside attributed ISP response context. The fictional reopened request retains the added family wording without creating a parent invitation.

Review the letter

Review the words before preparing the bundle

The letter workspace separates generation, editing, saving and PDF/bundle download. Earlier versions remain part of the history while actual submission and receipt are recorded independently.

A clearer assessment request

Keep responsibility and the next action visible

Retain family perspectives and source gaps

Separate preparation from the LA’s actual decisions

Questions about EHCNA

Can staff prepare evidence for a parent-led request?

Parent-led evidence is a separate pupil evidence PDF workflow. It does not create or submit a school-led request.

Does the timeline confirm the LA received a request?

No. It records entered dates for planning. Staff record actual submission, receipt and decisions and check the applicable case deadlines separately.

The value of a connected school

A plan matters when support reaches the child.

Bring the evidence around provision into the review, so the SENCO and teaching team can decide the next step together.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Attendance + SEND

    Check attendance alongside planned support

Look at absence and late arrival around provision. A pupil may have a plan in place and still miss opportunities to receive that support.

  2. Assessment + SEND

Bring progress evidence to the review

Consider recorded learning and small steps alongside targets and provision. Keep the evidence visible while staff judge what is helping and what needs another look.

  3. Family communication + SEND

Include the people who know the pupil
