SEND Documents: find the current file and check its audience

Student Radar helps SEND teams maintain general documents, templates and EHCP PDFs with categories, audience information, versions and audit history, while keeping specialist decisions in their source workflow.

A stored file or annotation does not amend an issued plan or record a specialist decision. Staff check the intended audience, current version and source before using or sharing it.

The intended document, audience and current version stay visible. Fictional school example.

SEND Documents

From an uploaded file to a controlled working record

Find current SEND guidance, review earlier versions and retire or restore documents deliberately, with a separate workspace for source-anchored EHCP notes.

  1. 01

Store and find the right record

Choose a meaningful title, category, tags and permitted audience. Search the library and check its latest version and update date before opening the file.

  2. 02

    Review changes against their source

Read the earlier versions and change notes, replace a file without losing history and keep EHCP excerpts anchored to their document version.

  3. 03

    Keep the current library useful

Archive retired records and restore them only when appropriate. Check the saved status and retain the evidence trail rather than silently deleting the past.

Review versions

See what changed between versions

The details view retains the current and earlier filenames, version numbers and change notes. Audit events remain a separate record of actions rather than being confused with document content.

Prepare a replacement

Add a version to the same document

Replace asks for the new file and its change note while keeping the existing record. Staff can cancel the form without changing the current version.

Retire deliberately

Retire a document without losing its record

An archived document is labelled and its file-opening and replacement actions are blocked until restoration. Include archived brings the record back into the list for review.

Restore with history

Return a record to use deliberately

Restoring makes the fictional policy active again while its earlier versions remain visible. A status change does not automatically update a pupil plan or a consultation outcome.

Questions about SEND Documents

Can a replacement retain earlier document history?

The library includes file replacement, version inspection and an audit trail, plus archive and restore workflows for retired documents.

Does a general visibility choice change an EHCP’s audience?

No. Staff-wide, SLT-only and SENCo-only describe general-document visibility. EHCPs show the separate Head, SENCo & DSLs audience.

The value of a connected school

A plan matters when support reaches the child.

Bring the evidence around provision into the review, so the SENCO and teaching team can decide the next step together.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Attendance + SEND

    Check attendance alongside planned support

Look at absence and late arrival around provision. A pupil may have a plan in place and still miss opportunities to receive that support.

  2. Assessment + SEND

Bring progress evidence to the review

Consider recorded learning and small steps alongside targets and provision. Keep the evidence visible while staff judge what is helping and what needs another look.

  3. Family communication + SEND

Include the people who know the pupil

Gather family contributions and coordinate review conversations around the same pupil, with named actions and dates to keep the agreed work moving.
