Core / Calendar and Scheduling

Find a time that works, then keep the calendar where staff already look

Add events, see when required colleagues are free, poll for a time, and follow a private, read-only calendar feed in Outlook or Google Calendar.

Signals and suggested routes support professional enquiry. Staff decide what the evidence means and what should happen next.

Questions for the working day

The questions this answers

When is everyone free?

Choose the colleagues who must be there, the date and the length of the meeting. The availability grid shows each person as free, busy or unknown between 08:00 and 18:00, and suggests times that suit all of them.

What if the diary cannot settle it?

Send a poll with up to 20 possible times. Colleagues answer yes, maybe or no, and booking the winning time invites everyone who said yes or maybe. Polls are open to roles including class teachers, teaching assistants, DSLs, headteachers and administrators.

Can it sit in my own calendar app?

A private ICS link puts your own calendar, a room or a resource into Outlook, Google Calendar or another calendar app. The feed is read-only, so changes made there do not come back into Student Radar.

What else is on the calendar?

Personal and whole-school events, meetings and sports fixtures, with repeats, reminders, linked pupils and staff attendees. Review dates and trips from elsewhere in Student Radar appear too, and open where they were created.

Evidence in context

Availability is only as complete as the calendar

Free and busy come from what is recorded in Student Radar. A commitment kept somewhere else shows as unknown, or as free when it is not, so the grid is where the conversation starts and staff check before they book.

  • Linked pupils are optional and never block a suggested time
  • Subscription links expire, can be rotated or revoked, and stop working when a role no longer allows access
  • Whole-school events reach parents or the public only through calendar sharing, with a preview and approval first

What changes when Calendar and Scheduling is connected

The value of a connected school

See the pattern. Bring the context.

A change in attendance or behaviour is the start of a conversation. The connected pupil record helps staff ask a better next question.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. SEND + Core

Check whether support is reaching the pupil

Put attendance and behaviour alongside plans, provision and review evidence. Staff can investigate missed support before deciding what needs to change.

  2. Health + Core

Bring health needs into the attendance conversation

Authorised staff can check relevant medical needs and care plans when following up absence, then agree practical support with the family.

  3. Family communication + Core

Keep the family conversation with the follow-up

Read the contact history around a pupil before reaching out. Record the next action so another colleague can pick up the conversation with context.
