Alternative Provision / AP Attendance Tracking

AP attendance tracking and agreed session planning

Student Radar helps alternative provision teams compare booked-session observations with statutory AM/PM expectations and plan agreed sessions. Staff inspect missing sources and record owned follow-up where permitted; a plan or follow-up does not create an attendance fact.

Staff establish the facts and own the response. Unknown attendance is not absence; a saved plan is not a mark, and starting follow-up does not send a family message.

One recorded mark out of two expected occurrences gives 50% coverage; participation uses the one counted mark.

From attendance evidence to an owned check

Read the attendance gap before deciding what it means.

Compare booked-session observations with statutory AM/PM expectations, inspect the source and plan the attendance actually agreed with the pupil and commissioning school.

  1. 01

    Read the denominator

Check booked sessions, statutory expectations, period and missing coverage.

  2. 02

    Inspect the original occurrence

Read the mark, source, linked session and any existing follow-up.

  3. 03

    Confirm the next authorised change

Save an agreed future expectation or record/review the missing source through its own workflow.

Two views that answer different questions

Two views that answer different questions

Booked placement attendance comes from the provision’s session registers. Statutory participation reconciles AM/PM expectations and statutory marks; neither silently replaces the other.

Keep unrecorded bookings visible

Keep unrecorded bookings visible

Expected attendance, present, confirmed absent and unrecorded bookings remain separate. A site filter does not turn all-site pupil totals into site-only figures.

One present observation does not complete two expected bookings.

Make the observation window explicit

Make the observation window explicit

Select seven or 28 days and check the displayed dates. A future agreement does not appear in a past-period attendance count.

The period is explicit rather than assumed to cover a term.

Open the mark behind the percentage

Open the mark behind the percentage

Inspect each statutory part and linked rota context. A missing afternoon mark remains a source gap, not an inferred absence or a concluded reason.

An owned follow-up can coordinate checking; it does not create the missing mark.

Plan the sessions actually agreed

Plan the sessions actually agreed

Choose pupil, placement, bounded dates, weekdays and explicit AM/PM minutes. Review each new, matching, historical or source-owned occurrence before saving.

The proposed expectation is a plan, not attendance evidence or automatic timetable approval.

Read the confirmed plan again

Read the confirmed plan again

Reopen the same agreed date and times. Already matches distinguishes a saved expectation from a click or another change to submit.

The saved future Monday expectation does not alter today’s missing statutory mark.

Keep the incomplete record readable

Keep the incomplete record readable

The phone preserves reporting scope and unknown booking counts. Open the source before making a professional judgement about a pupil’s attendance.

Missingness remains visible rather than becoming an absence claim.

Make the next decision from the evidence

Staff establish the facts and own the response. Unknown attendance is not absence; a saved plan is not a mark, and starting follow-up does not send a family message.

Booked observations and statutory reconciliation with separate denominators

A source-specific route to check missing marks and own the next review

Agreed future expectations saved without inventing attendance

Questions about AP Attendance Tracking

Can we compare session observations with statutory attendance?

Yes. Attendance tracking brings booked-session records and statutory AM/PM expectations into review, retaining their different source meanings.

Can we plan sessions and assign follow-up for missing information?

Yes. Plan the attendance actually agreed with the pupil and commissioning school and record owned follow-up where permitted. Missing marks remain unknown.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.

Ask to see a missing mark followed back to its source

Read an incomplete percentage, inspect the pupil’s occurrence, save and reopen one agreed future expectation and explain which evidence is still missing.
