Alternative Provision / AP Transport

AP transport arrangements and journey updates

Student Radar helps alternative provision staff check pick-ups and drop-offs, maintain agreed arrangements and record delays, no-shows or operator changes already passed on. Transport records provide context; they do not change attendance or contact the operator.

Staff confirm the arrangement and respond through the provision’s procedures. A recorded assurance is not a verified clearance; recording that an operator was told does not send them a message.

Due at provider and Leaves provider refer to different parts of the journey.

From agreed journey to recorded event

Keep the journey plan beside what actually happened.

Check agreed AP pick-ups and drop-offs, keep transport responsibilities clear and record delays or operator changes without rewriting attendance.

  1. 01

    Check the expected journey

Read the date, pupil, direction, operator and linked session.

  2. 02

    Record the observed fact

Distinguish pupil arrival from vehicle collection, with an attributed note.

  3. 03

    Confirm the right record changed

Check the saved transport event and update attendance separately where needed.

Keep transport and attendance distinct

Keep transport and attendance distinct

A delay or no-show provides context without assigning an attendance code, approving collection or establishing a pupil’s location.

Record the time that answers the question

Record the time that answers the question

Pick-up lateness uses the pupil’s arrival. A vehicle drop-off records when the vehicle arrived to collect, rather than assuming the pupil left then.

The example records an arrival fifteen minutes after the plan.

Check the event after saving

Check the event after saving

The journey retains its recorded delay beside separate register information. A missing incident entry is not proof the journey was on time.

The saved delay does not change the pre-existing register mark.

Find the gaps in the arrangement

Find the gaps in the arrangement

Travel mode, arranging party and funding party remain separate. No arrangement, an unnamed escort and an unrecorded assurance need different follow-up.

Alan has no arrangement recorded; this is not a default travel plan.

Keep a practical handover requirement

Keep a practical handover requirement

Edit the authorised arrangement, check journey days and reopen the saved detail. Staff still establish suitable transport and handover procedures.

A saved handover requirement is not proof the handover occurred or an escort was cleared.

Read the journey at the point of use

Read the journey at the point of use

The phone retains pupil, direction and delay context so colleagues can check the correct journey before acting.

The visible delay is transport context, separate from attendance and collection authority.

Make the next decision from the evidence

Staff confirm the arrangement and respond through the provision’s procedures. A recorded assurance is not a verified clearance; recording that an operator was told does not send them a message.

Agreed travel responsibilities and journey times in one permitted record

An attributed transport event that preserves the attendance boundary

Clear outstanding information and operator-contact follow-up

Questions about AP Transport

Can we review daily pick-ups and drop-offs?

Yes. Transport shows agreed AP arrangements and responsibilities for the day so staff can check the intended pupil and journey.

Can we record a delay or operator cancellation?

Yes. Record the actual delay, no-show, cancellation or change already communicated. The entry does not send that communication or rewrite an attendance mark.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.

Ask to see a changed journey checked through

Inspect a pupil’s arrangement, record a delay, reopen the saved detail and explain what still needs a separate attendance or operator-contact action.
