Alternative Provision / AP Single Central Record

AP single central record and staff training evidence

Student Radar helps authorised provision leads review recruitment-check gaps and expiry dates alongside explicit staff-training records. Record decisions against the correct person and retain the source; a complete-looking row or percentage does not establish suitability to work with children.

Staff decide applicability, evidence quality and suitability. A recorded completion percentage is not a compliance certificate or deployment decision.

Fictional example in the actual application.

Alternative provision

Keep the next decision connected to its context

Review recruitment-check gaps and expiry dates alongside explicit staff-training records. Record the authorised decision against the right person, then return to the source.

  1. 01

Record the exact check for the exact person

Read the person and check title, then record status, dates, verifier and supporting evidence. A not-required decision needs a reasoned human judgement.

  2. 02

    Return to the recorded decision

Reopen the check to verify its saved state against the original evidence. Missing checks remain visible for review rather than disappearing behind an improved percentage.

  3. 03

Keep training requirements and reviews distinct

Use explicit requirement revisions, recorded lifecycle and human applicability/review decisions. Pending review work can be retried without recording the source decision twice.

AP Single Central Record

Record the exact check for the exact person

Read the person and check title, then record status, dates, verifier and supporting evidence. A not-required decision needs a reasoned human judgement.

  • Person and check identified together
  • Dates and verifier attached
  • Evidence reviewed before recording
Fictional example.

AP Single Central Record

Return to the recorded decision

Reopen the check to verify its saved state against the original evidence. Missing checks remain visible for review rather than disappearing behind an improved percentage.

  • Recorded state visible after reopening
  • Other outstanding checks retained
  • Suitability remains a human decision
Fictional example.

AP Single Central Record

Keep training requirements and reviews distinct

Use explicit requirement revisions, recorded lifecycle and human applicability/review decisions. Pending review work can be retried without recording the source decision twice.

  • Requirement revision retained
  • Recorded training distinct from review
  • Evidence and next review connected
Fictional example.

Make the record practical to use

Staff decide applicability, evidence quality and suitability. A recorded completion percentage is not a compliance certificate or deployment decision.

A traceable recruitment record

Keep the check, person, verifier and evidence in context.

A clearer next review

See missing and expiring entries alongside their source.

An explicit training decision

Separate completion, applicability and evidence review.

Questions about AP Single Central Record

Can we review recruitment-check gaps and expiry dates?

Yes. The single central record supports authorised review and recording against the intended person, keeping missing or incomplete checks visible.

Can we retain training requirements and recorded staff training?

Yes. Training requirements have published revisions, with separate recording or revision of staff training. Volunteer deployment is recorded separately.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
