Alternative Provision / AP Referrals

AP enquiries, referrals and placement readiness

Student Radar helps alternative provision teams connect enquiries, reviewed evidence, human decisions, proposed terms and visits on one referral. The current AP stages support placement-readiness checks; recording an enquiry neither accepts the young person nor creates a placement.

Recording an enquiry is not acceptance or placement. Staff review requirements, make decisions, confirm actual agreement and inspect the current blockers before creating a placement; sending and delivery remain separate states.

The fictional received enquiry is visible in the referral list without implying acceptance, a pupil link or a placement. Fictional school example.

AP Referrals

From a recorded enquiry to a deliberate placement decision

Keep referral information, reviewed evidence, proposed terms, visits and placement readiness connected to the same young person’s enquiry.

  1. 01

Record the enquiry and intended next work

Capture the known young person, referring contact, enquiry summary and initial-call state, then verify the saved record before starting its intended workflow.

  2. 02

Gather evidence and make stage decisions

Complete the applicable requirements, review exact document/form versions and record triage, assessment, proposal and visit decisions with their own authority and history.

  3. 03

    Confirm the agreed placement deliberately

Check identity, accepted terms, agreement evidence, visits and readiness blockers before the placement action; follow-up work and communications keep their actual owners and states.

Record what is known

Give the enquiry its factual starting point

The fictional phone enquiry records Ada, Sam Patel’s contact and a practical-programme discussion. Initial triage call remains Not arranged rather than being inferred from the presence of an enquiry.

Check the saved enquiry

Choose the intended published workflow

The fictional Stages view selects the published workflow before Start workflow. Starting the workflow does not by itself record a triage outcome, accept the referral or create a placement.

Reopen the current state

Review the human decision before recording it

The fictional Proceed to assessment form asks for the call record and optional actual call details. Opening the form is not the decision: the final action records it, while Cancel leaves it unrecorded. This example is cancelled.

Review exact evidence

Keep supplied evidence separate from accepted requirements

The fictional documents view has no uploaded evidence. In a working referral, each exact version is previewed and linked to the intended requirement before Accept or Request replacement records its review.

Read the recorded history

Retain the actor, time and workflow revision

The fictional enquiry event retains Sam Patel as recorder and revision 1. Subsequent saves, decisions and actions add history; a previous proposal or assessment is not assumed to be the current decision.

A clearer referral and decision history

Keep enquiry and placement states distinct

Questions about AP Referrals

Can referral information and visits stay on one enquiry record?

Yes. The referral connects gathered information, evidence, proposed terms, professional visits and young-person visits through the chosen workflow.

Can we check readiness before confirming a placement?

Yes. Placement confirmation follows the workflow’s readiness checks and authorised decisions. An enquiry, triage decision or proposed term does not itself create a placement.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
