Alternative Provision / AP Pupils

AP pupil records, starts and retained learner history

Student Radar helps alternative provision staff find the permitted pupil record, add details in saved stages and manage starts, leaving and genuine returns. Placement and attendance gaps remain visible without creating a second identity; the record is not school registration or consent to share.

Staff establish identity, agreements and access. A new provision record is not school registration, a completed placement, consent to share or evidence that a pupil attended.

Maya has no placement or attendance marks recorded; creating the identity does not complete those arrangements.

From pupil identity to a checked provision record

Keep the pupil’s identity while the provision journey changes.

Find the permitted AP record, add details in saved stages and manage starts, placements, leaving and genuine returns without losing retained history.

  1. 01

    Find the right identity

Check current, future or retained records and the permitted detail.

  2. 02

    Save the known facts

Create the core record, then add education, placement and contact information deliberately.

  3. 03

    Maintain the real lifecycle

Record actual leaving, correction or return decisions while preserving history and source-specific authority.

Read the list at the right scope

Read the list at the right scope

Operational staff, assigned colleagues and administrative directory users have different permitted pictures. Unavailable detail is not an empty case or unrestricted pupil access.

See the agreement and attendance gaps

See the agreement and attendance gaps

The roll separates current places, live/planned placement coverage, review dates and marked booked-session attendance. Search does not turn the visible list into the whole history.

Missing placement and missing marks need different follow-up.

Create once and continue the same record

Create once and continue the same record

Only first name and surname are required initially. The first Save and continue creates the identity, so later unfinished details do not justify another record.

Optional unknown information is left blank rather than invented.

Keep agreements separate from identity

Keep agreements separate from identity

Record known education details and staffing requirements, then create a placement through its own agreement workflow. A ratio requirement is not a safe-staffing approval.

Saving the pupil does not generate an agreed timetable or attendance mark.

Give contact decisions their own authority

Give contact decisions their own authority

Family, financial and arrival-email settings save in their own editors. Emergency contact status does not authorise collection or sensitive sharing.

Unavailable contact detail remains a gap; no confirmed family/contact arrangement is invented.

Check what is actually saved

Check what is actually saved

The final review brings the known facts together. Save and finish later preserves earlier stages; a list-refresh failure is not evidence the create failed.

The example saves the same identity rather than creating a duplicate.

Act from the named pupil card

Act from the named pupil card

On a phone, current/future/archive selection and pupil actions remain available at their permitted scope. Read the missing placement and attendance before opening the next workflow.

No active/planned placement and no marks remain explicit after creation.

Make the next decision from the evidence

Staff establish identity, agreements and access. A new provision record is not school registration, a completed placement, consent to share or evidence that a pupil attended.

A consistent pupil identity across saved stages and retained history

Clear gaps between core details, placement agreements, contacts and attendance

Genuine start and leaving decisions with current permissions and evidence

Questions about AP Pupils

Can we add an AP pupil record in stages?

Yes. Save the supported stages and check placement and attendance gaps, rather than treating an incomplete learner record as a completed arrangement.

Can a returning pupil keep their retained history?

Yes. Use the genuine return workflow for the existing identity rather than creating a second pupil. Leaving the provision and ending one placement have different meanings.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.

Ask to see a pupil added without inventing the rest

Create a fictional pupil, reopen the current record, inspect the missing placement and marks, then explain how a future start or genuine return uses the same retained identity.
