Alternative Provision / AP Family Messages
AP family contact records and one-to-one emails
Student Radar helps alternative provision staff record family contact already made, review planned follow-up and separately email an eligible contact. Recording a conversation sends nothing, and a queued or accepted email does not establish delivery or reading.
Staff check identity, authority and purpose. A logged conversation is a manual account; queued or accepted email does not prove delivery, reading or a family response. Families cannot reply to the sending address.
From actual contact to a checked next response
Keep the conversation record separate from the email’s state.
Record family contact that already happened, review the latest planned follow-up and use the separate one-to-one email workflow only for an eligible recipient.
01
Record what happened
Choose the pupil, person, kind, direction, actual date and factual outcome.
02
Keep the next check explicit
Use the latest contact’s follow-up date and record the actual next conversation.
03
Check a separate email request
Choose one eligible recipient and inspect queued or delivery states without treating them as read receipts.
One pupil’s contact with its actual scope
One pupil’s contact with its actual scope
The permitted current roster and full family-contact authority are separate. Recent and follow-up counts state their bounded recorded-entry window; a restricted or failed read is not an empty family record.
Record the agreed conversation
Record the agreed conversation
Manual contact keeps the person, actual date, observed outcome, summary and next check distinct. Typing an unlisted person does not verify their authority.
Read the latest entry’s follow-up
Read the latest entry’s follow-up
The page lists the current planned date, not every historical commitment. A later qualifying entry replaces it rather than completing unrelated work.
Select an eligible recipient deliberately
Select an eligible recipient deliberately
The separate email form checks enabled sending, pupil/contact authority and a masked endpoint. The recipient is checked again before dispatch.
Keep the pending state visible
Keep the pending state visible
After the request is queued, the email entry still says queued. Provider acceptance, checking and failed/not-sent outcomes remain distinct from delivery or reading.
Record an incoming conversation separately
Record an incoming conversation separately
They contacted us records an actual incoming call or message. The outgoing email address does not provide a threaded reply inbox.
Check what the latest record leaves planned
Check what the latest record leaves planned
A fresh contact with no further follow-up removes the planned date from this page. The older entry and any separate work remain.
Read the message state on a phone
Read the message state on a phone
The phone retains the named contact entry and queued label before staff decide whether another action is needed.
Make the next decision from the evidence
Staff check identity, authority and purpose. A logged conversation is a manual account; queued or accepted email does not prove delivery, reading or a family response. Families cannot reply to the sending address.
A current page follow-up without rewriting the previous conversation

Questions about AP Family Messages
Can we log a family conversation that already happened?
Yes. Family Messages records completed contact and the latest planned follow-up without sending a new message.
Can we send an email to an eligible family contact?
Yes. Email family is a separate one-to-one send workflow for eligible recipients. Check the actual sending result and any later delivery state.

The value of a connected school
A placement touches more than the timetable.
Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Safeguarding + Alternative Provision
Raise a concern from the pupil you are working with
Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

Check medical needs before an off-site session
Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

See the placement from the commissioning school’s side
Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.

Ask to see a conversation recorded and an email kept honest
Save a fictional call, inspect its planned follow-up, queue a separate email and record a later incoming call while explaining which facts and delivery outcomes remain unverified.
