Alternative Provision / AP Evidence Store

AP evidence store and versioned document control

Student Radar helps alternative provision teams keep document versions, review dates, sign-offs and linked context in the shared Evidence Store and Document Control workspace. Staff decide what an uploaded record establishes and who may see a specific version.

Staff choose the classification, audience and evidence interpretation. Reading, signing, sharing and reviewing remain separate authorised decisions.

Fictional example in the actual application.

Alternative provision

Keep the next decision connected to its context

Bring document versions, review dates, sign-offs and linked context together in the shared Evidence Store and Document Control workspace for alternative provision.

  1. 01

Preserve the version behind the evidence

Read the file, version number and change note together. Add a new version while retaining earlier files, and verify the latest record before using it.

  2. 02

Attach a signature to the version actually read

Review the latest version, sign with your own identity and set explicit sign-off targets where authorised. Selecting targets does not sign for them or establish delivery.

  3. 03

Connect the document to the work it supports

Choose a permitted framework area, leadership action or priority and review the resulting relationship. A link supplies context while each destination keeps its own access boundary.

Make the record practical to use

Staff choose the classification, audience and evidence interpretation. Reading, signing, sharing and reviewing remain separate authorised decisions.

A stable evidence reference

Recognise the title, version and review date together.

A specific attestation

Know which version a person signed.

A connected purpose

Relate evidence to the authorised work it supports.

Questions about AP Evidence Store

Can evidence retain its version history and review date?

Yes. Create the document record and maintain its versions and details, with sign-off applying to the intended latest version.

Can we link evidence to its purpose and share a specific version?

Yes. Link the document to its context and use the permitted sharing controls for a specific version. An evidence link does not grant access to its source or destination.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
