Alternative Provision / AP Evidence Capture
Find AP observation and evidence recording tools
Student Radar helps alternative provision staff choose an available observation, check-in or document workspace from Evidence Capture. Standalone file or observation capture is not available on this page; staff complete and check the save in the permitted destination.
Opening a destination records nothing and grants no access. Staff save and verify evidence in its source workspace, with sensitive categories and each destination’s permissions intact.
AP Evidence Capture
From an evidence need to the right permitted workspace
Evidence Capture directs staff to the available observation, check-in and document workspaces. Standalone file or observation capture is not available on this page.
01
Read what the hub can and cannot do
The page explains that it saves no files or observations, then checks which workspaces are available for the school and your action scope.
02
Choose the record’s actual destination
Open Progress Drivers for structured observations, Daily Check-ins for session evidence or the Evidence Store for document records, when offered.
03
Verify the save where the record lives
Complete the intended destination controls, inspect the saved record/version and retain its pupil, source, observation time and access context.
Choose the source
Make the recording boundary visible
The fictional active AP example offers three destinations and says that standalone capture is unavailable. There is no hub Save, hidden upload queue or combined evidence history.
Open the destination
Navigate to the pupil workflow before recording
Open Progress Drivers reaches the real progress workspace with its cohort and coverage information. Staff still choose the pupil and Add observation; the navigation itself creates no record.
Respect reading access
Describe reading and adding differently
The fictional reading-only example removes observation creation and tells staff they can read check-in evidence and shared documents. A destination card does not imply permission to add or change every record.
Use the setting’s workflow
Show the appropriate setting branch
A non-AP school with the relevant page access is offered EYFS Assessment rather than AP-only progress/check-in workflows. The Evidence Store remains subject to its own access.
Keep unavailable distinct
Distinguish no offered workspace from no evidence
The fictional access-limited state offers no destination and asks staff to check the intended workflow. It is not a statement that the school has no evidence or a reason to bypass restricted-source controls.
A clearer route to evidence recording
Opening a destination records nothing and grants no access. Staff save and verify evidence in its source workspace, with sensitive categories and each destination’s permissions intact.
Understand when a destination is reading-only
Verify a record in the workflow that saved it
Questions about AP Evidence Capture
Can Evidence Capture open the right recording workspace?
Yes. It directs staff to available observation, check-in and document workflows according to the provision’s setting and current access.
Where do we save the observation or file?
Complete and verify the save in the destination workspace. Evidence Capture itself does not save files or observations, and opening a link records nothing.

The value of a connected school

Safeguarding + Alternative Provision
Raise a concern from the pupil you are working with
Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

Check medical needs before an off-site session
Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

See the placement from the commissioning school’s side
Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
