Alternative Provision / AP Capacity & Waiting List

AP capacity forecasts and referral waiting lists

Student Radar helps alternative provision teams set stated capacity, review a dated forecast from placements and accepted referrals, and maintain an ordered waiting list. Suggested fits support human review; they do not reserve a place, accept a referral or send an offer.

A forecast or suggested fit does not reserve a place, accept a referral, send an offer or create a placement. Staff check practical suitability, recorded sessions and readiness before deciding in the referral workflow.

The fictional six-week forecast retains its worked-out time, waiting-list suggestion and one placement with missing agreed days. Fictional school example.

AP Capacity & Waiting List

From the stated limit to a checked waiting-list decision

Set the provision’s capacity, inspect the dated placement forecast and keep accepted referrals in an ordered waiting list before a human placement decision.

  1. 01

    Set the intended provision-wide limit

Choose places per day or session, enter the usual number and weekday exceptions, then save and verify the settings.

  2. 02

Read the forecast with its source assumptions

Inspect placed/future learners, accepted referrals and agreed patterns, preserving missing-day assumptions, closures, the forecast window and worked-out time.

  3. 03

Manage the queue and decide through the referral

Add eligible referrals, maintain expected starts/notes and deliberate order, then open a suggested fit to review suitability and readiness before any placement action.

Set the counting basis

Choose a capacity basis that matches the provision

The fictional settings use places per day, a usual limit of four and a different Wednesday capacity. Blank weekday overrides inherit the usual limit; zero means closed.

Check the saved limit

Verify the limit that was actually saved

The reopened fictional settings retain five places per day and the existing Wednesday override. Saving a capacity limit does not change placements, their sessions or agreed support.

Review waiting order

Read waiting order separately from placement state

The fictional list keeps Ada at position1 with an expected start, referral stage and follow-up note. Queue position is the intended offer order, not a confirmed start or a new referral status.

Record the next discussion

Keep the next discussion factual

The reopened fictional entry retains the saved note that no place has been confirmed. Expected start and note can change without changing queue order or overriding an agreed start from the referral.

Choose an eligible referral

Add an eligible referral deliberately

The native dialog offers the fictional eligible referral and optional expected start/note. This example is closed without adding it; the waiting list never substitutes for acceptance or placement confirmation.

A clearer capacity and waiting-order record

A forecast or suggested fit does not reserve a place, accept a referral, send an offer or create a placement. Staff check practical suitability, recorded sessions and readiness before deciding in the referral workflow.

Questions about AP Capacity & Waiting List

Can we see a dated capacity forecast alongside waiting referrals?

Yes. Capacity & Waiting List combines stated capacity with recorded placements and accepted referrals, retaining missing-day assumptions for review.

Can we change a waiting referral’s order or expected start?

Yes. Authorised staff can update the ordered queue, expected start and notes. A suggested fit or queue change does not confirm a place.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern, and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Attendance, review and timetable views shared about a named learner leave out protected record types. Staff see summaries and only the records they are separately authorised to open, and a link does not give wider access.

  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
