School controlled-drug register and witnessed movements

Student Radar helps authorised staff record controlled-drug receipts, physical counts and witnessed movements against the correct medicine and holder. Pending witness requests stay distinct from completed ledger entries; the register supports school procedures rather than clinical decisions or legal certification.

Staff follow authorised instructions and school procedures. A witness confirms only what they actually witnessed; a recorded count does not silently adjust stock or certify the register.

The fictional school-stock line records a receipt of twelve tablets with its resulting balance. Fictional school example.

Controlled Drugs

From the physical event to the recorded ledger

Record controlled-drug receipts, physical counts and witnessed movements against the correct medicine and holder, with pending requests kept separate from completed ledger entries.

  1. 01

    Identify the medicine and holder

Select the pupil or school-stock medicine, check its schedule and unit, then choose the actual movement type.

  2. 02

Record facts with the right signature

Counts record the physical amount without moving stock. Administration, disposal, return and adjustment require an independent staff witness’s own confirmation.

  3. 03

    Review the completed result

Check pending, confirmed, declined and cancelled requests separately from the ledger, then reconcile the recorded balance and count history.

Choose the line

Start with the medicine and who it is held for

Pupil and Controlled drug establish the line before quantity and movement are recorded. School stock remains distinct from pupil-held medicine, and the existing unit provides essential context.

Record the count

Record what was physically counted

The fictional count records twelve tablets and its explanation. A balance check has no stock movement; a discrepancy needs separate review rather than an automatic balancing adjustment.

Check the saved entry

Check the count and unchanged balance

The reopened fictional ledger retains the count, zero change and balance of twelve. Receipt, count and adjustment remain distinct events in the history.

Require the witness

Keep a pending witness decision distinct

The disposal form requires an independent staff witness. A submitted witnessed movement waits for that person’s own-account confirmation before the ledger and balance update.

Questions about Controlled Drugs

Can the register identify the medicine and its pupil or stock holder?

Yes. Each stock line belongs to a medicine and its pupil or school-stock holder, retaining the context for recorded movements.

Can a named witness confirm a request assigned to them?

An independent named witness can review a request assigned to them through their own account, even without full-register access. You cannot witness your own movement; a pending request is not a completed ledger entry.

The value of a connected school

Care with the pupil’s wider context in reach.

A first aid visit, care plan or medication round belongs to the same child the school teaches and supports every day.

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Health

A first aid record can inform a wider review

Authorised staff can consider relevant incidents alongside the pupil’s chronology. Repeated visits can prompt a closer look; staff decide whether a concern needs recording and what happens next.
