Alternative Provision / Today, Rota and Register

Start the day knowing who is due in, who is with them and what is still unmarked.

Today is the first page staff see. It brings together who is in, today’s sessions, reviews that are due and recent notes. The weekly rota plans who works with whom, and each session has its own register.

Rota warnings point out risks such as lone working. Your team decides how each session is staffed.

Today: who is in, what is on and what needs attention.

The working day

From the usual week to today’s registers

Plan the shape of the week once, then run each day from it.

  1. 01

    Lay down the week

Set up your usual week as templates and lay it onto a real week in one step. Sessions from agreed placement plans appear, ready to be staffed.

  2. 02

    Check the warnings

See sessions with pupils but no staff, staff alone with pupils, double bookings, too few adults for the agreed ratios and staff outside their working hours.

  3. 03

    Take the register

Mark each session present, late arrival or absent, with arrival and departure times. A pupil who has not been marked shows as unknown, not absent.

Every capability has a purpose

Inside Today, Rota and Register

Each capability solves a distinct problem for pupils and staff. Explore the part your team needs and the work it supports.

01 / 03

Today

Today shows who is in, absent or not yet marked, today’s sessions in time order, overdue placement reviews and the notes added this week.

Weekly Rota

Weekly Rota lays your usual week onto a real one, then warns about sessions with no staff, lone working, double bookings and ratios that fall short.

Daily Register

Daily Register gives each rota session its own register, with arrival and departure times, a reason for any change and the full history kept.

Weekly rota

A rota that knows the placement

Session kinds cover education, therapy, vocational and outreach work, lunch duty and meetings. If a week would go over a placement’s agreed hours, a manager records a reason before overriding it.

  • Usual-week templates, or save a planned week as templates
  • Cancelled sessions kept in history with the reason
  • The week downloads as a PDF
The weekly rota, with staffing and pupil allocations for each session.

Session registers

A register for each session, with the history kept

Leaving early and absence each need a reason, and “reason not yet known” is allowed so staff are not forced to guess. Changing a saved mark needs a reason too, and the full history stays with the session.

  • Mark all present when the group is complete
  • Arrival and departure times recorded
  • Sessions shown in the calendar, and tasks in My Actions

The day runs from one place

Staff start from the same view, with this week’s plan and today’s registers connected.

Today at a glance

Pupils on roll, four-week attendance, overdue reviews and today’s notes, with the register one click away.

Safer staffing

Ratio, lone-working and double-booking warnings appear while the rota is being planned.

Honest registers

Unmarked sessions stay unknown until someone records what happened.

The value of a connected school

A placement touches more than the timetable.

Provider staff use the same safeguarding and health tools as mainstream schools, and commissioning schools on Student Radar have their own side of the placement.

Follow a connection to see what it makes possible

Relevant context, with access set by each staff member’s role and responsibilities. Staff decide the response.

  1. Safeguarding + Alternative Provision

Raise a concern from the pupil you are working with

Provider staff can raise a concern and authorised DSLs work it on the DSL Action Board, with the chronology and record transfer in the same place. Safeguarding records are never shared through commissioner access.

    Explore safeguarding
  2. Health + Alternative Provision

Check medical needs before an off-site session

Authorised staff can check medical needs, medications and healthcare plans for the young people in the provision before a session, and record first aid when something happens.

    Explore health
  3. Commissioning school + Alternative Provision

See the placement from the commissioning school’s side

Schools that commission placements keep a provider register with due-diligence checks, placement checks before, during and after the placement, and an evidence pack they can export.
